Core Purpose:

Our team is growing! We are seeking an Executive Assistant to support our CEO, CFO and Head of Sales as well as general office management and recruiting support. In this role, you must demonstrate a high sense of urgency while working in an autonomous environment.  You will have strong attention to detail, have the ability to wear multiple hats and multi-task on a regular basis. 

Key Responsibilities:

  • Effectively and proactively manage complex calendars
  • Coordinate global schedules and make necessary arrangements for meetings including video conferences and conference calls
  • Supports corporate travel needs of C team; mostly domestic with potential for international
  • Provide other administrative support such as expense reporting and tracking, maintaining org charts and the organization of C team’s documents and/or files
  • Prepare agendas and presentations and facilitate meetings when necessary
  • Partners with recruiters, coordinates interview loops and manages communication and travel arrangements for candidates
  • Drive the planning and execution of company activities and events such as all-hands meetings and social events
  • Ensures security of the office by greeting guests and confirming they should be in the office
  • Maintains office appearance, including to enlist the help of others to ensure consistent organization and cleanliness
  • Owns the relationship with building management to ensure maintenance needs are met and access cards are produced for new hires
  • Collaborates with the CFO on space and facilities planning
  • Manages relationships with outside facilities vendors

 

Experience and Qualifications:

  • Minimum 3 years’ experience in an administrative role
  • Proficiency with Microsoft Office and aptitude for learning new technology tools
  • Possess a high level of professionalism and discretion while handling confidential information
  • Good written and oral communication skills
  • Possess sound business judgement
  • Must enjoy a fast-paced environment with ever changing priorities
  • Resourceful and creative problem solver
  • Demonstrated ability to research and self-teach new skills as necessary

 

Working Conditions:

The job conditions for this position are in a standard office setting.  Employees in this position use company issued Macs and personal cell phones on an on-going basis throughout the day.
